How we work

The analysis step by step, from the first email to the close

This is how it works from the inside: what I do, what I ask of you and how much of your time it takes. Most of the work is mine. Your part is three short blocks of time: twenty minutes to talk, half an hour to pull the reports and one hour to go over the report.

  1. 1

    We talk

20 minutes · you and me

You tell me how your agency gets paid today: which system you use, who handles the billing and what worries you about getting paid. If it is a good fit, we agree on the next step.

  2. 2

    We sign

    From your phone or computer

The confidentiality agreement HIPAA requires (BAA) and a one-page letter with what the analysis includes and what it does not. Without them I do not receive any data.

  3. 3

    I open your private folder

    My part

A Microsoft 365 folder only for your agency and me, with one part where you upload your files and another where I leave your report. Nothing travels by email or WhatsApp.

  4. 4

    We pull the reports together

    20 to 30 minutes · video call

In the evening or on a weekend, you share your system's screen and I tell you what to choose: claims from the last six months, with what was paid, and authorizations. Exactly as they come out, no sorting needed. If someone else at your agency usually runs them, they can join. You upload them to your folder during the same call.

  5. 5

    I analyze

    My part, during the week

I load your files on an encrypted computer, keeping only what the report uses, and your clients become numbers. If you give me the rates each insurer pays you, I use them; if not, I estimate them from what you bill and the report says so.

  6. 6

    We go over the report

    1 hour · a week later

I leave the PDF in your folder and we go through it together, page by page, to decide what to address first. The sheet that says who each number is stays with you. If whoever does your billing wants to join, even better.

  7. 7

After three months we sit down again

    You and me

We see what changed since the report. If we decide to keep working together, it will be under a separate agreement and with founding-agency preferred pricing. If not, that is fine: you keep the analysis.

  8. 8

    Close

    My part

When we finish, your files stay in your folder for two weeks so you can download them, and then I delete every copy I have.

The report

The questions it answers

Each page answers a question an owner asks about getting paid. You can see them all with a sample agency and made-up numbers.

See the sample report
  • How much of what I billed needs attention?

Everything billed in six months, by the status of each claim, and what to address first.

  • Where is the problem?

Which insurer holds most of what is pending, which denies the most, which takes longest to pay and which pays less than what was billed.

  • How long does my money take to move?

How long a session takes to become a claim, and how long what was already sent has been waiting for an answer.

  • How much approved money am I letting expire?

What is authorized and expires in the next 60 days, and the part that can no longer be used before it expires.

  • What does not add up in my system's data?

Checks of what your system exports, with the number of each claim or authorization so you can look it up.

Who does what

Your part is short. I do the rest.

You

  • Twenty minutes for the first conversation.
  • Signing the HIPAA agreement and the letter from your phone.
  • Half an hour to pull the two reports with me.
  • One hour to go over the report, and the conversation after three months.
  • Telling me honestly what helped and what did not.

Me

  • Preparing the paperwork and your private folder.
  • Loading and checking your data, and building the report.
  • Walking you through it, in English or Spanish.
  • Deleting every copy I have when we finish.

On the system you already use. I do not ask you to change systems or to give me access: I work with whatever your system exports. And I do not replace whoever does your billing; the analysis gives that person a list of what to address first.

Start with twenty minutes

Tell me a little about your agency. I reply myself within one business day and, if it is a good fit, we set up the conversation.
